Rules For Submission of Electronic Files
(i.e. scanned pages and digital photos) 

Read all of this information carefully so that we can expedite your application.

We're pleased to be able to offer our customers the opportunity to bypass regular US Postal mail and send things to us directly via email.  Please understand that if your files do not meet the specifications we will be unable to accept them.  We apologize for this, but such standardization is necessary.  The files you create will be rather large.  The average customer submission for a complete application package is over 2 megabytes in size.

Where Do I Send My Stuff?

For on-line applications, your scanned document and photographs should be sent to apps@lelandwest.com

  • Don't Send Adobe Acrobat for Photographs.  Our imaging systems were developed and standardized before Adobe Acrobat was a standard. If you just want to send us a note output to Acrobat from your word processor, that is fine. See below for technical specs for Acrobat documents of this nature.
     
  • Tips on Sending Us Scanned Photographs
    If you have a scanner and are scanning in a traditional photo, scan your photos in as follows:
    • Set the "dpi" (dots per inch) on your scanning software to 200
    • Scan the photo in at 100% size
    • Do not worry about cropping the photo
    • The photo must be at least 1 megapixel in size (i.e. not less than 1000 pixels in width) .  Enlarging it from a smaller size won't work.
    • Save the photo in JPEG (i.e. ".JPG") format with the quality set at 8 (80%) or better. Most internet photos are stored in this format.
    • This should yield an image that is about 1100 pixels wide. A sample for your review is here.

  • Tips on Digital Camera Photographs
    These days, pretty much everyone has a digital camera that meets our minimum size of 1 megapixel (1024 x 768).  Just set the camera for this detail setting (or more if you like), snap the pictures, save them as .jpg files, quality 8 (80%) and send them to us.  You may have to compress the files with a program like WinZIP to get them through your mail server.
     
  • Email Documentation Options
    You have three options:
    1. Send us a simple email message.  If you just want to drop us a quickee note, this is best.  Plain-text and HTML-formatted email are both accepted.
       
    2. Scan in your documents and send them as email attachments.  You'll need to do this when sending us policy declarations, photographs, or other paper documents.  Scan in your pages using exactly the same settings as for photos.  However, save the pages using a quality setting of 3 (30%) to minimize file size.
       
    3. Send us a word-processed note in Acrobat format as an email attachment.  If you'd like to use a nicer format from your word processor and are comfortable using Acrobat to create documents, this is fine within the following restrictions:
       
      If any photos are included in the document, they must be sent at your option.  In other words, if you want to send us a picture to clarify an issue, fine.  However, if we request that you send us a picture for some reason, it must be delivered per the photo specifications.
       
      Acrobat options set as follows:
      • General:
        • Compatibility set to Acrobat 3.0
        • Default Resolution to 600 dpi
      • Compression (these are all optional)
        • Compress text and line art
        • Downsample all image types to 600 dpi
        • Zip/JPEG medium compression for color and grayscale images
        • CCITT Group 4 compression for monochrome bitmaps
